Lead Tennis Academy

Weather, Make-Ups & Cancellation Policy

At Lead Tennis Academy, our priority is ensuring every player enjoys consistent time on court each term. We understand that weather and life don’t always go to plan, so we’ve created a policy that is fair, flexible and easy for families to follow.


Group Lessons

Wet Weather & Extreme Heat

Player safety always comes first.

Lessons will be cancelled if:

  • Courts are unsafe due to rain

  • The temperature reaches or is approaching 36°C

  • The Wet Bulb Globe Temperature (WBGT) reaches 32.5°C

Weather decisions are based on Bureau of Meteorology (BOM) data and are typically made at least one hour before the lesson, often earlier where possible.

Families will be notified as soon as a decision is made.


Missed Group Lessons (Any Reason)

If your child misses a lesson due to:

  • Rain or weather cancellation

  • Illness

  • School commitments

  • Family commitments

  • Or any other reason

They are welcome to attend a make-up lesson.

We strongly encourage make-up lessons to be completed within the same term the missed lesson occurred in, as this supports continuity and progression. However, we allow make-up lessons to be carried into the following term if needed.

Make-ups are:

  • Subject to availability

  • Booked into a suitable class level

  • Scheduled at a time offered by Lead Tennis Academy


Fees & Invoices

Group lessons are structured and invoiced on a full-term basis to provide consistency in coaching, scheduling and court allocation.

While missed lessons are not refunded or adjusted, we offer flexible make-up options to ensure players still receive their time on court whenever possible.

Our focus is always on keeping players progressing and enjoying their tennis.


Private Lessons

24-Hour Cancellation Policy

We kindly ask for at least 24 hours’ notice if you need to cancel or reschedule a private lesson.

  • Late cancellations (under 24 hours) or no-shows may be charged at the full lesson rate.

  • If Lead Tennis Academy cancels due to weather or extreme heat, the lesson will be rescheduled at no charge.

We understand that unexpected circumstances can arise and encourage early communication wherever possible. Where appropriate, and at the coach’s sole discretion, exemptions may be made for late cancellations.


General

By enrolling in lessons at Lead Tennis Academy, families acknowledge and agree to this policy.

Code of Conduct

We aim to provide a positive, safe, and enjoyable environment for everyone at our tennis programs. All players are expected to:

  • Respect coaches: listen to instructions and let coaches lead the session.

  • Respect others: be kind, inclusive, and avoid disruptive or unsafe behaviour.

  • Respect the space: use equipment properly, stay focused, and keep the courts clean.

If expectations aren’t met:
We may give a reminder, pause participation in any given session, contact a parent/guardian, or suspend future sessions if needed.
